What Virtual Assistant Services Do Red Desk Offer Which Might Benefit Your Company?

Someone recently asked me “what Virtual Assistant services do you offer which might benefit my company?” which is actually more difficult to answer than it seems.  I did refer the potential client to our Services page but it did get me thinking about how our services might benefit small businesses heading into the new business year.

Post Office

parcelAre you sick of queuing in the post office with all those letter or parcels?  If so, have you considered outsourcing this often tiresome task?  At Red Desk, we can collect your post for you, sort out the correct postage and send it according to your requirements. We simply add the costs to our invoice at the end of the month, now that should free up your time to focus on something more exciting.

Newsletter

You may want to send your clients an email or a newsletter. We can create the document and email it to all your clients, a wonderful way to stay in touch and keep people up-to-date with what your business has achieved over the past year and its plans for the new one ahead.

Social Media

Planning to launch a new service or offering in 2015?  Have you thought about a social media campaign?  At Red Desk we can handle your social media for you.  We can launch a Facebook page, boost your Twitter feed or create and manage a social media campaign on your behalf.  If you find it hard to know what to write about on your blog, Facebook or Twitter we can research content, keeping your campaigns lively and interesting.

Event Planning

What about a party or event?  At Red Desk, we can help source a venue, send out your invites, organise catering and take care of all the details to ensure that your event runs smoothly.

Paperwork

Maybe you would like to sort out all that paperwork that’s been piling up and start the new business year with it all organised and a better office system.  Or perhaps we can help you chase those payments that are still outstanding.  We’re happy to work remotely or onsite to help you as you mean to go on and help you to make 2015 a great year for your business.

These are just a few ideas of how we can help; if you have a task that doesn’t make you any money and is taking up your valuable time then outsource it with confidence.

Top tips for file and folder organisation

If you struggle to find where you put those 2010 holiday photos of your trip to Spain or that favourite recipe from your Great Auntie Maud but know that they are “somewhere” on your computer then this is the article for you.  On the other hand, if you think your filing is ok then a refresher is always good! Welcome to Red Desk’s top tips for file and folder organisation.

  1. Like any good office, your computer comes with somewhere to store all your documents and files. It’s called “Documents” and on the more up-to-date versions of Windows, it comes in the format of a library.  Here is a screen shot of what it looks like:1
  2. Create folders for each member of the family (eg John docs; Mary docs) or if you solely use the computer, create folders for work, personal and photos etc. Basically keep folders separate so it is easy to file and search later
  3. Don’t be afraid to use subfolders. This is where you create a folder within a folder eg within “John docs” you might have “work” and “personal”.  This can be especially helpful for holiday photos (which can easily spiral out of control) so you might have a subfolder for each year
  4. Keep file names short as it will be easier to find what you are looking for eg itemsbilledMarch
  5. Be consistent with your labelling of files – this is a really handy tip for photographs. I tend to use the YYMMDD format eg 13th March 2011 would be 110313. I prefer this as it orders the documents (usually the photographs) in the year, then month, then day
  6. Clean and tidy your files regularly – like paper files after a year or so, you may not need all those drafts and spreadsheet workings. Keep the essentials and back up either using an external hard drive or one of the many virtual storage services such as dropbox (dropbox.com) or google drives
  7. Finally, I tend to use “My downloads” as a temporary storage area and clear it out after each session once the documents I want to keep are filed

Once you have mastered the above 7 steps, you will be able to apply them to any system which involves files and folder creation. However, if you are still struggling and require more help then please do get in touch with us at Red Desk.
